    Team Key
    Viivo for Business users now have a way to give decryption keys to all members on their team. The Team Key allows files to be encrypted to a list of Viivo users whom belong to the team. As your team roster may change, the decryption keys will ensure that only active members of the team have keys to decrypt files.

    To utilize this feature in Viivo, the team administrator needs to log in to the Viivo Admin Console and create the Team Key for the team. Once it has been created, everyone on the team will receive the team key to be used for decryption. Any set of files that are encrypted with the Team Key can be decrypted with the Team Key. If a member leaves the team Viivo will remove the Team Key from the user's account.

    Encrypting documents for the team is not limited to those on the team. If you are exchanging data with Viivo users not on your team, they can enter your team name into the Assets tab and encrypt documents for your team, even though they are not a member of the team. Remember, if you are encrypting documents to send back to the partner that is not on the team, you will need to include them in access control list.

    Multi-factor Authentication (MFA) with Toopher
    Viivo now supports integrating you Viivo identity with a 3rd party MFA provider Toopher. Setting up your account with Toopher will help prevent your Viivo identity from being stolen as each request needs to be authorized by your Toopher device.

    The follow Viivo actions will trigger a Toopher authentication prompt on your Toopher device:
    • Login to new machine (Account Transfer)
    • Login to known device (Login)
    • Change Email (Change Email)
    • Change Password (Change Password)
    • Change Name (Account Transfer)


    Filename Encryption
    Filename encryption is currently an experimental and beta feature in the 2.5 desktop release of Viivo. To request this feature to try on your Viivo account, please visit https://forums.viivo.com/showthread....on-Beta-Signup

    The current implementation of filename encryption will do the following when enabled:
    • Scan the files in your Viivo-Encrypted folder
    • Encrypt the filename of files that are not in a Dropbox Shared folder
    • It will NOT encrypt the folder names


    The current implementation of filename encryption will do the following after it has been enabled:
    • It will NOT encrypt the folder names
    • New files added to the Viivo folder will become filename encrypted as Viivo automatically encrypts them
    • If a folder becomes shared, the filenames will become decrypted names as your partner(s) need to be able to see the filenames.


    The current implementation of filename encryption will do the following when disabled:
    • Scan the files in your Viivo-Encrypted folder
    • Decrypt the filename of files that are not in a Dropbox Shared folder


    Consolidated view of shared assets in Viivo Manager
    One of the inquires we received from Viivo 2.4 put it best, “Shares are assets and assets are shares then why are there 2 tabs”? In the Viivo 2.5 desktop client, there is only 1 tab now for managing access to all the assets you've created in Viivo. Assets may be Dropbox shares, files you have created from the Viivo Drop Zone and files you have encrypted by right clicking on the plain text file.

    In the Assets tab functionality
    • Users can add / remove access in real time
    • Users can add Team Key
    • Users can pre-allow users into shares/assets
    • Users can delete assets (non dropbox shares)

    How does one activate Toopher for his or her Viivo account? I have looked through the Viivo Manager and, unless I am missing something, there is no option to enable Toopher. I did not see instructions in the release notes.

    On an unrelated note, is there a way to refresh the Assets and People lists in this release?

    1. Open Viivo manager and click Settings button
    2. In the Toopher prompt, you will want to define a name for your device and enter the Toopher pairing code. To get a code, you need to open Toopher on your device and request a code.
    3. Then an after you send the request from the Viivo manager, you need to confirm it on the Toopher Device.

    Thank you for the quick response. It turns out that about 24 hours passed before I received an "MFA Enabled" Notification and the button became active. All is now working perfectly.
